Using The Drawing Office Manager

This tech tip explains how to use the Drawing Office Manager.

Enabling the Drawing Office Manager
The Drawing Office Manager (DOM for short) is active if you have checked the Use Drawing Office Manager box in the File Menu › Save Options › Save Settings option.

It allows you to keep track of each drawing: its description; the draftsperson drawing it; the department it is being drawn in; the paper size, scale and units used; the number of hours spent on it; the date it was last updated; the date it was last plotted; etc.. (See table later in this section for full details of information stored).

A dialog will appear at the first save. If the Display on all save option is selected, this dialog will appear each time the drawing is saved.

Description

Enter a brief description of the drawing in this field.

Draftsperson

Enter the name of the draftsperson in this field.

Department

Enter the department of the draftsperson in this field.

Date Started

The date the drawing was started is automatically entered into the Date Started field. This field cannot be edited.

Last Plotted

The date is automatically entered into this field each time a plot is done. This field cannot be edited.

Entity Statistics Button

Click this to display the Entity Statistics Dialog. This dialog lists the number of primitives, objects and layers in the drawing.

Block Statistics Button

Click this to display the Block Statistics Dialog. This dialog is only relevant to drawings that have been imported from AutoCAD. It displays statistics about AutoCAD blocks hidden within the drawing structure.

OK Button

Click this button to accept current entries in the dialog.

Cancel Button

Click this button to exit the current dialog without saving entries.

Clicking on the Entities Statistics button brings up the following dialog that lists the number of primitives, objects and layers in the drawing.

Clicking on the Block Statistics button, which is only relevant to drawings that have been imported from AutoCAD, displays statistics about AutoCAD blocks hidden within the drawing structure.

All this information is stored in an ASCII file called DRGOFFMG.TXT every time you save your drawing. DRGOFFMG.TXT resides in your AllyCAD User folder (i.e. if you log on as Guest, the file will be stored in the \AllyCAD34\Users\Guest folder) and is updated each time you save a drawing. It can be loaded into any database that reads a comma delimited ASCII file, and can also be edited in any text editor such as Windows Notepad.

Each record in the file refers to a particular drawing and is stored on a single line, with fields separated by commas. It looks something like this (but all on one line):

"TECH TIP.DRG","\DATA FROM CLIENTS\LANGBRIDGE\","D:","Support 1 - ","Tech tip","","A0
841x1189mm",1000,1000,"CARTESIAN",,,"Support","210",20040913,20040913,,,"","","","","","",
"Brett",,00,,,,,,,,,00,,,,

All the fields that are included in the DOM are listed in the table below, together with:

  • The type of field (Type): Text characters (C); Numbers (N); Date (D).
  • The number of characters allocated to the field (Len.).
  • The number of decimals allocated to the field (Dec.).
  • Whether AllyCAD automatically fills in the field. Fields that are automatically filled in by AllyCAD are marked with a *. You can fill in the non-automatic fields yourself using any text editor, provided that commas separate each field and that text fields are enclosed in double quotes.
